This is a senior role with broad scope across facilities, procurement, corporate travel, ESG-related administration, ensuring the organisation runs efficiently and meets the governance standards of a listed environment.
Job Description:
- Lead the Group admin team and build a service-minded, efficiency-focused team culture with strong internal client orientation
- Manage and standardise the group-wide administration policies, standards and procedures to drive consistency across entities and subsidiaries
- Oversee day-to-day operation of head office, including space planning, office renovation projects (if any), workplace optimization etc.
- Ensure facilities meet safety, environmental and compliance requirements; manage front-of-house, mailroom, pantry, meeting rooms etc.
- Manage group contracts for office supplies, equipment, facilities management and outsourced services; handle vendor selection, RFP / tender exercises, negotiation and performance review
- Oversee office asset and inventory management, implementing robust tracking and documentation for audit and compliance purposes
- Manage the group’s corporate travel policy, balancing business needs, cost control and compliance
- Coordinate major corporate events (e.g. annual dinner, conferences, townhalls) and manage logistics for senior management meetings, executive visits and cross-entity activities if any
- Support ESG-related initiatives around workplace environment, sustainability and responsible sourcing/procurement
- Manage administration budgets covering office operations, facilities, procurement and travel; monitor spending, forecast needs
- Participate in other projects if necessary
- University degree in Business Administration or a related field
- 10 -15 years of office management experience from listed companies or large corps is essential
- Candidates who are committed, proactive, driven, collaborative are desired
- Candidate with great stakeholder management skills is preferred
- Proficiency in English, Mandarin and Cantonese is a MUST
